What this tool calculates
Printed and digital menu costs can follow different schedules. This calculator compares a first-year print total with a first-year digital total using your quantities, rates and update frequency. It reports their difference without assuming that either approach is always cheaper.
How to use menu update cost calculator
- Enter the number of copies in each print run, cost per copy and number of complete print runs in the year.
- Add one-time print/design setup, digital monthly cost and digital setup cost. Use zero where a cost does not apply.
- Calculate annualized totals and the print-minus-digital difference. A positive difference means the entered print total is higher.
How the calculation works
Annual print = quantity × cost per copy × print runs per year + setup. Annual digital = monthly cost × 12 + setup.
Worked example
100 copies × ₹20 × 4 print runs + ₹500 setup gives an entered annual print cost of ₹8,500.
Understanding the result
The first-year model includes one-time setup costs on both sides. For a later-year comparison, set setup costs to zero if they do not recur. The print-run count must include every run you want modelled; the calculator does not add an extra initial run. Staff time, stands and other omitted costs are excluded.
